Job Responsibilities

Team & Task Coordination

Coordinate and delegate daily assignments for attorneys and paralegals. Monitor task progress and ensure timely completion of case-related activities. Act as a point of escalation to resolve internal workflow or communication issues.

Billing & Financial Oversight

Review time entries and invoices for accuracy. Correct billing errors prior to submission and ensure compliance with client guidelines. Collaborate with the team to maintain billing schedules and resolve discrepancies.

Client Communication & Problem Solving

Serve as a liaison between the law firm and clients, ensuring high-quality customer service. Address client concerns with professionalism and urgency, delegating follow-up actions to appropriate team members. Track client issues to resolution and document actions taken.

Technology & Office Systems Management

Maintain and troubleshoot office technology including computers, printers, Ring cameras, and internet connectivity. Manage vendor relationships for IT support and equipment maintenance.

Training & Efficiency Initiatives

Train new and current staff on efficient use of Smokeball practice management software. Conduct time management workshops and implement best practices across the team. Develop guides and materials to help staff maximize productivity tools.

Executive Support

Manage the email inbox of the Managing Attorney, including sorting, flagging, and responding to messages as needed. Assist with scheduling, drafting correspondence, and coordinating internal meetings.

Education and Experience Information

; prior office management preferred. Familiarity with legal billing practices and client communication protocols. Proficiency in Smokeball or other legal practice management software is strongly preferred. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Tech-savvy and comfortable with troubleshooting office hardware/software.

Salary Information

$43,000 to $55,000 Yearly

The law firm is a high-volume law firm that concentrates on family law and criminal defense law. It is currently run by women who happen to be mothers. The firm is supportive of each other and has grown into a very close group of friends. To be clear, the law firm is not opposed to hiring a male applicant. All applicants will be considered based on qualifications. The staff on the family law side of the firm has been employed there since 2004.
