Job Title: Estate Planning Paralegal
Job Responsibilities:
- Provide direct support to the President of the law firm both professionally and personally, handling all aspects of the President’s office as requested.
- Draft legal documents and correspondence related to trust administration, probate, estate planning, business, corporate, and high net-worth/advanced planning clients.
- Manage and oversee procedures and processes to streamline and improve operations within the firm.
- Conduct daily meetings with the President to review priorities and summarize next steps after each "Advanced Planning" meeting.
- Draft engagement agreements for new clients/matters.
- Revise letters, client correspondence, and articles written by the President.
- Schedule appointments for business, corporate, and high net-worth clients.
- Follow up with high net-worth clients who did not engage after the initial consultation.
- Return calls for high net-worth clients with questions and comments from the President.
- Monitor the President’s email for urgent and important matters.
- Maintain and update office memorandums and revise unique legal documents to be saved in the Form File.
- Prepare seminars/webinars and related documents for the President’s participation and assist with presentations.
- Provide direct administrative support to the President, including overseeing the calendar, scheduling client meetings, greeting clients, responding to client requests, organizing and summarizing communications, typing/composing correspondence, conducting internet research, organizing/tracking travel accommodations, and routine filing.
- Draft estate and tax planning documents for capital gains planning engagements and high net-worth clients.
- Maintain Corporate Shield Service Clients throughout the enrolled year and prepare minutes and related documents as needed.
- Meet with estate planning clients to sign documents and notarize client documents (if currently a notary).
- Discuss questions and comments from estate planning and asset protection clients and act as a witness during signing appointments as needed.
- Undertake all other projects as assigned.
Education and Experience Information:
- Certified Notary Public required.
- Legal administrative experience is necessary.
- Strong research skills, including legal research, are required.
- Experience in legal case management and document review is essential.
- Excellent writing and legal drafting skills are necessary.
- Previous paralegal experience in Estate Planning, Trust Administration, Probate, Taxation, and Business Law is required.
- Proficiency in proofreading and transcription is necessary.
- Knowledge of contracts and document management systems is required.
- Data entry and clerical experience is needed.
- Strong organizational skills and attention to detail are essential.
- A minimum of 3 years of paralegal experience is required.
